Odoo for Australian wine producers, importers and distributors

Wholesale, distributor, export, cellar door, wine club and online, all drawing on one stock position and one ledger.

Ooda Consulting configures Odoo 19 for Australian wine businesses that sell through wholesale, distributors, export, cellar door, wine club and online. WET and GST post at invoice for each channel, stock is held by wine and vintage, and producers keep their winemaking software, connected to Odoo at bottling. We have built and tested this on a working Odoo 19 database loaded with a producer's real catalogue, price book and invoice history.

Where wine businesses get stuck

WET compounds under GST, changes by channel, and is often split out by hand at BAS time. Bonus stock goes out at no charge and the margin on the deal disappears into the averages. Selling seven bottles means breaking down a dozen. Every vintage adds products to the list. Producers often run sales and invoicing through their winery system with a one-way link to the accounts, so cost of goods sold is a manual journal that can still be changed after the month has closed.

Producers and importers need different builds

An importer or distributor moves finished stock. The work is pricing, trading terms, landed cost and dispatch, usually through a third-party warehouse. A producer makes the stock first. For producers the question is where winemaking stops and commerce starts, and how bottling cost reaches the ledger. We scope the two separately and do not sell one as the other.

Where winemaking ends and Odoo starts

For producers we draw the line at bottling. The winemaking system handles fruit to glass. Odoo handles glass to cash: products, pricing, customers, orders, dispatch, invoicing, WET, GST and the accounts.

Each bottling run comes across with its volume, batch, vintage and cost split by fruit, additives, bulk wine and freight. Cost corrections made later in the winery system come across as revaluations, not as edits to a closed month. We have tested this against the live Vintrace API and InnoVint.

Two systems carry more overhead than one. The trade is worth it when the winemaking software does winemaking well, and it gives that software back the job it was built for.

What we configure

01

WET and GST by Channel

WET at 29% with GST calculated on the WET-inclusive amount, labelled on the invoice. Wholesale, retail, sales to other wholesalers and export each carry their own treatment, applied automatically by customer. Export is GST-free with no WET. Your tax adviser confirms the retail WET method and rebate position before go-live.

02

Wines, Vintages and Part Cases

One product per wine, with each vintage as a variant carrying your existing SKU. Bottle, six-pack and twelve-pack packaging on the same stock, so a part-case order needs no stock adjustment.

03

Pricing, Terms and Deals

Price lists for wholesale, distributor and retail channels, and payment terms such as 60 days end of month set on the customer. Bonus stock ships at zero price and full cost, so the deal shows its true blended margin.

04

Cost of Goods and Closed Periods

Perpetual FIFO stock valuation. Cost of goods sold posts when stock leaves, and a locked period refuses back-dated changes.

05

Groups with Several Entities

Operating, vineyard and winery entities as separate companies, each with its own chart of accounts, sharing products and customers where they should. Payroll with Single Touch Payroll Phase 2 runs in the same system.

06

Online, Club and Cellar Door

Shopify orders, including discounts and platform fees, post to the same stock and ledger as wholesale. Club and cellar door sales draw on the same available stock.

Common questions

Does Odoo calculate Wine Equalisation Tax?

Yes. Odoo calculates WET at 29% and GST on the WET-inclusive amount, so a taxable wholesale sale carries 41.9% combined tax. Export is GST-free with no WET, and quoted sales to other wholesalers can be invoiced without WET. Your tax adviser confirms the treatment and we configure it.

Do we have to replace Vintrace or InnoVint to use Odoo?

No. Producers keep their winemaking software for fruit to bottling, and Odoo takes over from bottling to invoice. Bottling volumes and costs come across automatically, so the two systems do not duplicate stock or sales.

Can Odoo track wine stock by vintage?

Yes. Each vintage is a variant of the wine with its own SKU, stock and cost. Batch tracking can be added where traceability requires it.

How does Odoo handle bonus stock on five-plus-one deals?

The bonus case goes on the order at zero price and leaves stock at its full cost. The margin report then shows the real margin on the deal, not an average that hides the free stock.

Can we sell part cases without breaking down a dozen?

Yes. Bottles, six-packs and twelve-packs are packagings of the same product, so any quantity can be sold from the same stock.

Can Odoo run a wine group with several companies?

Yes. Each entity is a separate company with its own chart of accounts and its own BAS, inside one database. Users switch between companies without logging out.

Do we need Odoo's manufacturing module to make wine?

Usually not. Importers and distributors do not need it. Most producers keep winemaking in specialist software and bring stock into Odoo at bottling.
