Odoo for yacht clubs and marinas

A club runs a property business, a membership business and a visitor business at once. Most software handles one of them.

Ooda Consulting builds and configures Odoo for Australian yacht clubs and commercial marinas. Berths, members, visitors and billing run on one system, so a berth licence, a membership renewal and a casual booking all post to the same ledger. Our Sydney team has built purpose-made Odoo modules for the parts of club and marina operations that standard Odoo does not cover.

Members, money and boats

Berthing and hardstand are often a club's largest revenue line, and they usually run on spreadsheets. Berths sit empty while holders are away. Casual visitors who call after hours don't get booked. Insurance expiries go unchecked.

Standard Odoo runs accounting, point of sale, events, email marketing and maintenance. Our modules cover the rest: berth allocation, membership states, online bookings and statutory registers. Race scoring stays in Sailwave or TopYacht.

What we set up

01

Berths and Hardstand

Every berth and storage space carries its dimensions, holder, vessel and dates. Warnings flag a boat that is too long, draws too much or is underinsured for the berth. The waitlist is held in order.

02

Absence and Sublet

When a holder declares time away, the berth becomes available to casual visitors for those dates.

03

Online Casual Bookings

Visitors search availability, upload their certificate of currency and pay by card. The allocation and invoice are created without the office.

04

Membership and Renewals

Categories, one-, five- and ten-year terms, pro-rata joining and grace periods. Member status follows payment, and the committee can override it.

05

Sign-In and Statutory Registers

A kiosk signs in members, guests, temporary members and contractors. It keeps the registers required under the Registered Clubs Act 1976 (NSW), checks the barred list and handles contractor inductions.

06

Berth Walk

The dockmaster scans a QR label on each berth by phone and records present, empty or different boat, with a photo of anything that fails a check.

07

Venue Hire

Function bookings with deposit and balance invoices, catering per head, a booking calendar and printed run sheets.

08

Assets and Compliance

Equipment readiness tracked from compliance expiries and open maintenance requests.

Common questions

Can Odoo manage berth allocation for a marina?

Yes. Each berth is a record with its holder, vessel, dates and rate, so allocation, invoicing and the occupancy board all run from the same data. Suitability checks warn on length, draft and insurance cover without blocking the allocation.

Can visitors book a casual berth online?

Yes. The public booking page shows live availability, requires a certificate of currency and insurance expiry, and takes card payment. The berth is allocated and invoiced when the payment clears.

Does it keep NSW Registered Clubs Act sign-in registers?

Yes. The kiosk records members, guests with a host countersignature, temporary members and contractors in the registers the Act requires. It applies the five-kilometre rule for temporary members and keeps records for the three-year minimum.

Can members charge bar purchases to their account?

Yes, using standard Odoo Point of Sale with member account charging. If the club keeps an existing POS system, the integration is scoped separately.

Does it replace our race management software?

No. Race scoring stays in Sailwave or TopYacht. The suite covers members, money and boats.

Can a commercial marina without a club use it?

Yes. The marina modules are sold separately and do not need the membership modules.

Can the committee get one revenue report?

Yes. Berths, memberships, bookings and venue hire all invoice through Odoo Accounting, so committee reports come from one ledger.
